Report parameters vary by report. The
table describes report parameters, in alphabetical order.
Parameter
Description
Active or Start
Allows you to restrict report results based
on training assignments.
Active or Complete. Includes
training active during the selected date range and all training completed
during this date range.
Starting Between. Includes
training with a start date that falls in the selected date range.
All or Hidden
Restricts report results to training that
is currently hidden from trainees (Show Hidden Only), only training
that is not hidden (Show
Non-Hidden Only), or both (Show All).
All or Self Assign
Restricts report results to training that
trainees can assign to themselves (Show Can Self Assign), only
training that trainees cannot assign to themselves (Show Cannot Self Assign), or
both (Show All).
Assignee
Restricts report results based on users.
You can include all assigned users or only a specific user. If you do not
choose a specific assignee, the report includes all assignees.
Restricts report results based on
assignments. You can include all assignments or only a specific assignment. If
you do not choose a specific assignment, the report includes all assignments.
Assignment Status
Restricts report results based on
assignment statuses. If you do not select specific statuses, the report
includes all statuses. Options in this parameter include the following:
Completed. Includes all
assignments a trainee has completed. It does not include assignments that a
manager marked complete for the trainee.
Excused. Includes all
assignments for which a trainee has been excused.
Expired. Includes certifications
with a due date in the past.
Failed. Includes all assignments
that a trainee has not passed or did not get the passing score in the allowed
number of attempts.
In Progress. Includes all
assignments a trainee has started but has not yet completed.
Marked Complete. Includes all
assignments that a manager or training administrator marked complete for a
trainee.
Not Registered. Includes offline
training assignments for which a trainee has not registered.
Not Started. Includes all
assignments a trainee has not started.
Overdue. Includes all
assignments the employee has not completed and that have a due date in the
past.
Registered. Includes offline
training assignments for which a trainee has registered.
TestedOut. Includes all
assignments that a trainee does not have to take because he passed a pre-test
that indicates proficiency in the subject matter and exempts the trainee from
the full lesson.
Withdrawn. Includes optional
assignments that were not taken and were withdrawn after a pre-defined period
of time.
Category
Restricts report results based on training
categories. If you do not select specific categories, the report includes all
categories.
Certifications
Allows you to include or exclude
certification assignments from the report counts.
The Date Range parameter allows you to
restrict report results to a specific period. The period may not exceed one (1)
year.
Today. Today's date
Yesterday. Yesterday's date
Week to
Date. The period starting on the most recent Sunday through today
Month to
Date. The period starting on the first day of the current month through
today
Quarter
to Date. The current fiscal quarter through today
Year to
Date. The current year, starting on January 1 through today
Current
Week. The period starting on the most recent Sunday through the next
Saturday
Current
Month. The period starting on the first day of the current month through
the last day of the month, even if the last day is in the future
Current
Quarter. The current fiscal quarter, through the last day of the quarter,
even if the last day is in the future
Current
Year. The current year, starting on January 1 through December 31
Last
Week. The period starting on the previous Sunday through the last Saturday
Last
Month. The month prior to the current month
Last
Quarter. The fiscal quarter prior to the current quarter
Last
Year. The year prior to the current year, starting on January 1 and ending
on December 31
Custom
Date. A user-defined date range.
Note: Reports run for multiple years
will typically take longer to complete than for shorter date ranges depending
on the size of the date range, size of database, and number of parameters. The
system produces a timeout message if the amount of data is too large to
process. The report parameters are displayed on the screen to allow you to
redefine your selections and run the report again.
Scheduled Reports can also be run for
more than one year, however, a good practice to follow before scheduling a
report is to first run the report ad-hoc to be sure the report does not time
out with the parameters you have selected. Keep in mind that as your database
grows over time, report parameters that ran quickly six months ago may take
longer today.
User
Defined Range. A relative date range starting today and going back the
number of days or months specified, up to 365 days or 12 months.
Begin
Date/End Date. The begin and end dates are automatically updated to display
the exact date range you have selected. You can edit them to specify a custom
date range
Date to Use
Restricts report results based on the date
when training was assigned, the date when it was completed, or the date when it
is due. Options include:
Assignment
Date. Includes training with a start date
that falls in the specified date range.
Note: If you choose to assign a
different start date to assignments added to trainees
after the assignment was created, the assignment date
value in this parameter uses the trainee's start date
rather than the start date on the assignment itself.

In this case, make sure you choose the appropriate date
range for the purpose of your report.
Completion Date. Includes
assigned training that was completed during the specified date range.
Overdue Date. Includes assigned
training that is due during the specified date range.
Display
Allows you to display the top 5, 10, or 25
training titles assigned to users selected in the report.
Restricts report results based on users’
status: active users (Active), inactive users
(Inactive), or active
and inactive users (Active and
Inactive).
Excused Assignments
The Excused Assignments parameter controls
whether the report includes excused assignments (Include) or excludes excused
assignments (Exclude) when calculating the completion percentage.
Trainees. Groups the report
results by Trainees selected in the People selection. Displays the number of
assignments and time spent for each trainee.
OrgUnits/Groups. Groups the
report results first by Org Unit/Group and then by trainee within each Org
Unit/Group. Displays the number of assignments and time spent for each trainee
and for each Org Unit/Group.
Assignments. Groups the report
results by assignment status and displays the number of assignments for each
assignment status.
Training Title. Lists the
training titles assigned to the people selected in the report. Displays the
number of assignments made for each training title, grouped by assignments
status.
Selected People. Lists the
users, organization units, and groups selected in the report. Displays the
number of assignments for each, grouped by assignment status.
Employees. Lists all the
selected users and all the users included in selected organization units and
groups. Displays the number of assignments for each user, grouped by assignment
status.
Detail
Level. Displays training set titles and all
the training units within the sets.
Test Level
Detail. Displays training set titles, all
the training units within the sets, and each attempt users
have made to pass the associated test, the score, and
current status.
People
Allows you to select the users to include
in the report. Some reports allow you to select multiple people, organization
units, and groups, while others allow selecting only one person, organization
unit, or group. We have specified what each report accepts in the People
parameter in the report descriptions below.
Search for an employee, organization
unit, or group simply by typing their name in the
Add
people field. The system filters the entire organization directory
based on the letters you’ve typed and provides a list of all the records that
include your search keyword. The system displays employees first, then
organization units, and then groups, and it sorts each set of records
alphabetically. Once you see the record you need, click it to select it. The
record appears in the People section.
To select multiple records at once,
click the
Add button. On the Select People window, select
the check boxes next to all the appropriate records and click the Select
button.
If you want to search only a
restricted list of employees on the Select People window, you can filter the
entire organization directory by clicking the down arrow that appears
next to the
Search field. Clear the check box next to the types of records you
don’t want to search, for example, Employees (Inactive), Organizations, and
Groups.
To distinguish between employees
who may have the same first and last name, you can add more columns on the
Select People window, such as Username and EmployeeCode:
On the
Select
People
window, move the mouse over the Type
column until the down arrow appears, and click the arrow.
Click the
Columns option.
Select the check boxes next to
the columns you want to see. Click somewhere else on the Select People window.
The new columns appear on the Select People window.
Percent of Minimum Time
Restricts report results based on the time
it took users to complete training. You can choose to display only users who
completed training under the minimum time, for example, in 50, 60, or 70 % of
the expected minimum time.
Printing Options
Allows you to determine whether report
information should be split when you print it. Options include:
Standard Page Break. Does not
split report information when it gets printed. Prints multiple users on a
single page, if applicable.
After Each Employee, Org Unit, or
Group. Prints only a single user, org unit, or group on a page and
starts each subsequent user, org unit, or group on a new page.
Session
Used only for the
Offline Training
Manifest report to select the session for which you want to print a
manifest.
Show Subtotals
Allows you to choose whether the report
should show data for each month instead of the totals for all the months
included in the report.
None. Does not display any
monthly subtotals.
Assigned Month SubTotals.
Displays subtotals for each month when training was assigned.
Overdue Month SubTotals.
Displays subtotals for each month when training is due.
Determines if the report includes required
or optional training or both.
All. Includes all training,
regardless of whether it is required or optional.
Required. Displays only active
training.
Optional. Displays only inactive
training.
Test
Allows you to select the test on which to
run the report. Some reports allow you to select multiple tests, while other
reports allow you to select only one test.
Training
Allows you to restrict report results based
on specific training. If you do not select any training, the report includes
all training.
Search for a training unit simply by
typing its title in the Search training field. The system filters the entire
training library based on the characters you’ve typed and provides a list of
all the records that include your search keyword. The list is grouped by
training type. Once you see the record you need, click it to select it. The
record appears in the Training section.
To select multiple training units at
once, click the
Add button. On the
Select
Training window, select the check boxes for all the appropriate
training titles and click
Select. If you want to search
only specific types of training on the Select Training window, you can filter
the library by clicking the
down
arrow that appears next to the
Search field on this window.
Clear the check boxes next to the types of training you don’t want to search,
for example, Test.
Training Type
Allows you to restrict report results based
on the type of training, such as course, curriculum, presentation, or test.
